A student attendance register records which students were present, late, absent or on leave for every class day of the month. Pakistani schools have kept paper registers for decades, and many still do. This guide covers the right register format, how to calculate attendance percentage, and when moving the register online makes sense.
Attendance register format
A standard monthly register has:
- School name, class and section, teacher and month at the top
- Roll number and student name down the left side
- One column for each class day of the month
- A mark in each box: P (present), A (absent), L (late) or Lv (leave)
- Totals at the end of each row: days present, days absent and the percentage
You can make a printable register in seconds with the free attendance sheet maker. It also downloads a version for Excel.
How to calculate attendance percentage
Attendance percentage = (days present + days late) ÷ (days present + days late + days absent) × 100
Approved leave is usually left out of the calculation so it does not lower the student's percentage. For example, a student with 18 present, 2 late and 2 absent has 20 ÷ 22 × 100 = 90.9%.
To check any number quickly, use the attendance percentage calculator. It also shows how many classes a student can miss, or must attend, to stay above 75%.
The 75% attendance rule
Many schools, colleges and universities in Pakistan require at least 75% attendance before a student can sit the final exam. Policies differ between boards and institutions, so always check your own rules. The practical lesson for schools is to spot students who are slipping below the line early in the term, not in the week before exams.
Paper register vs online register
| Paper register | Online register | |
|---|---|---|
| Marking time | A few minutes per class | Seconds, with "mark all present" |
| Monthly totals | Counted by hand | Calculated automatically |
| Students below 75% | Found by checking each page | Flagged automatically |
| Principal's view | Collect registers from each class | One screen for every class |
| Parents and students | Told at PTM or on the result card | Students can see their own calendar |
| Lost or damaged register | Data is gone | Backed up every night |
| Cost | Cheap | Software subscription |
Paper works for a small school with a few classes and a careful teacher. Online saves the most time when you have many sections, run online or blended classes, or need monthly reports for parents and owners.
How online attendance works in ilmdiya
- The teacher sets the class days for each course, such as Monday to Friday.
- On each day, the teacher taps Present, Late, Absent or Leave for every student, or marks everyone present and changes the few who are missing.
- Absent students can be notified straight away.
- The monthly register shows every student and day with totals and percentages, and downloads as CSV.
- The owner sees attendance across all courses, with students below 75% flagged.

Frequently asked questions
What should be written on an attendance register?
The institution, class, section, teacher, month, each student's roll number and name, a mark for every class day and monthly totals with the percentage.
Is late counted as present?
In most schools, a late arrival counts as attended for the percentage. Some institutions count a fixed number of lates as one absence, so follow your own policy.
Can we keep both paper and online registers?
Yes. Some schools keep the paper register for official inspection and use the online register for daily marking, percentages and parent reports. Over time, many move fully online.
